Solution 1: Verify hosting

  1. Open the QuickBooks software on each computer
  2. Choose the File and click on  Utilities.
  3. this computer is not hosting the company file, If you see Host Multi-User Access on the list, and you can go to the next computer. if you see Host Multi-User Access at your workstation, Don’t change anything.
  4. select that option, If you see Stop Hosting Multi-User Access,
  5. Repeat the above steps 1-3 on each computer.

Solution 2: Verify QuickBooks services

QuickBooks services need to be running on the server computer When working with QuickBooks Desktop in a multi-user mode,

  1. Hit the Windows key + R to open the run box.
  2. Type services.MSc and hit Enter.
  3. Scroll down and look for the QuickBooksDBXX service, In the services window.
  4. Double-click the QuickBooksDBXX service
  5. Ensure the Startup Type is set to Automatic and service status is Running or
  6. Click on the Recovery tab.
  7. Click the drop-down menu for First failure to select Restart the Service. This will automatically restart the QuickBooksDB service.
  8. If it fails, do the same for Second failure and Subsequent failures.
  9. to save the changes, Click OK
  10. Repeat steps 1-6 above for the QBCFMonitorService.
  11. In multi-user mode, Open QuickBooks on each affected workstation.

Solution 3: Configure Firewall

  1. You need to Access Windows Firewall Settings.
    • right-click the Windows logo, From the Desktop
    • select Control Panel.
    • Enter “Firewall” in the search bar
    • press Enter.
    • Click on Windows Firewall and select Advanced settings.
  2. , right-click Outbound Rules, On the left, and choose New Rule.
  3. Choose Ports and click on Next.
  4. Select TCP and in the specific local ports box, enter in the below ports:
    • QuickBooks Desktop 2018: 8019, 56728, 55378-55382
    • QuickBooks Desktop 2017: 8019, 56727, 55373-55377
    • QuickBooks Desktop 2016: 8019, 56726, 55368-55372
    • QuickBooks Desktop 2015: 8019, 56725, 55363-55367
  5. Click Next and select Allow the Connection.
  6. Click Next to type a name in the name field and click Finish.
  7. for the Inbound Rules, Repeat steps 1-5
  8. Open QuickBooks in multi-user mode again, Open QuickBooks

Solution 4: Create a new folder for your company file

  1. create a new folder, On the hosting computer, share it
  2. Set Windows access permissions to share company files. ,
  3. contact your IT professional, If you do not have access to the file server copy the .qbw file to the new folder.
  4. in multi-user mode again, Open your company file

Solution 5: For Windows Server 2012 Essentials R2 users

The following steps should be followed when running Windows 2012 Server Essentials

  1. first step is to Stop the Base Filtering Engine Service.
    • press Windows + R, On your keyboard, to open the Run window.
    • , enter services.MSc In the open field and press Enter.
    • Right-click on the Base Filtering Engine Service.
    • Click o Stop.

2. Next step is to Scan the QuickBooks File Directory with the QuickBooks Database Server Manager.

  • Click on Start, select All Programs and choose QuickBooks 
  • Click on QuickBooks Database Server Manager
  • Select the Scan folders tab.
  • Click Add folder Otherwise, highlight the folder with the files and click on Scan.
  • close the Database Server Manager, When the process is complete,

3. Start the Base Filtering Engine Service.

    • press Windows + R, On your keyboard, to open the Run window.
    • enter services.MSC In the open field, and press Enter.
    • Right-click on the Base Filtering Engine Service.

4. Select the  Start.
